Commercial Assistant Property Manager

Pay Range: $26.00-$30.00 an hour

Location: Austin, TX 78746

Duration: Mid-April through September (Temporary/Seasonal)



Position Summary

The Commercial Assistant Property Manager supports the Property Manager in overseeing Class A office buildings. This role focuses on building operations, tenant and vendor relations, maintenance coordination, project management, and financial processes including invoicing, accounts receivable/payable, and budget reporting.


Key Responsibilities

Tenant Relations & Building Operations

  • Respond to tenant service requests and complaints by creating and managing work orders in the property management system
  • Coordinate tenant move-ins and move-outs, including notices and logistics
  • Communicate regularly with tenants and vendors to ensure high-quality service
  • Conduct property inspections with Building Technicians and address maintenance issues
  • Enforce building policies, including parking and common area usage
  • Monitor tenant insurance compliance per lease requirements
  • Assist with capital improvements, renovations, and tenant build-outs
  • Coordinate vendor work for tenant improvements and special projects
  • Support maintenance team scheduling and task prioritization
  • Prepare and send accounts receivable and delinquency notices

Vendor Management

  • Manage day-to-day relationships with service vendors (janitorial, security, landscaping, elevators, etc.)
  • Review security reports and follow up on incidents
  • Verify vendor invoices for accuracy and contract compliance
  • Code and submit invoices for approval and payment processing
  • Ensure all vendor documentation and insurance certificates are current
  • Maintain accurate and timely invoice processing with minimal errors

Financial & Administrative Support

  • Review monthly accounts receivable and assist with collections
  • Support budget preparation and monitor expenses against approved budgets
  • Assist in preparing financial reports, including variance reports
  • Ensure timely completion of reporting requirements (monthly/quarterly)

Qualifications

  • 2–5 years of administrative or support experience required
  • 1–3 years of property management or real estate experience preferred
  • High school diploma required; college coursework or degree preferred
  • CPM or RPA coursework a plus

Skills & Competencies

  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional communication and confidentiality
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Experience with Yardi Voyager, Angus Work Order System, and insurance compliance tools (e.g., myCOI) preferred
  • Basic accounting knowledge
  • Ability to be on-site regularly to inspect properties and coordinate operations
