Job Summary: Assists the Director of Leasing in all aspects pertaining to the leasing and marketing of UI’s commercial real estate portfolio.

 

 

Essential Duties and Responsibilities:

Leasing Duties

Ø Assists with drafting offers/proposals to be sent to prospective and existing tenants and coordinate obtaining space plans and coordinating furniture orders and installations for office suites

Ø Maintain office and retail space availability list

Ø Creates and maintains documentation such as tenant expiration lists, commission statements and waivers, space availability lists, renewal/option reports, lease proposals/amendments and storage, parking and banner agreements

Ø Shows marketed spaces to prospective and current tenants, as needed

 

Administrative Duties

Ø Assist in responding to office and retail space inquiries via email and/or phone

Ø Responsible for being the contact person when the Leasing Director is not available

Ø Coordinates updates to the broker database and manages lease announcement emails with in-house coordinator

Ø Promptly updates listings on Costar and other listing platforms

 

Other Duties and Responsibilities:

Ø    Develops and coordinates efficient and effective operating procedures

Ø    Assist in preparing marketing e-blasts

Ø    Updates bi-weekly reports for leasing, property management and construction meetings

Ø    Provide new transaction updates to property management and construction departments

 

Knowledge, Skills and Abilities:

Skills shall consist of, but are not limited to the following:

Ø Must be able to work with a minimum supervision and be proactive in completing daily tasks within stated deadlines

Ø Possess strong problem-solving skills and analytical abilities

Ø Maintain open communications and foster harmonious working relationships among all employees

Ø Possess excellent verbal, written, interpersonal, communication and organizational skills

Ø Possess general computer proficiency (particularly with Microsoft Word and Excel)

Ø Possess attention to detail, quality and accuracy in all work

Ø Ability to think, assess and act decisively in handling multiple tasks concurrently

 

Education and Experience:

Ø High School diploma or equivalent (four-year undergraduate degree preferred)

Ø 5 years of relevant administration experience

Ø Ability to have UI sponsor a Real Estate Broker’s License, if desired (not required)
