JOB SUMMARY
About the Opportunity We are seeking an experienced and highly motivated Property Manager to oversee the day-to-day operations of a premier commercial office property in Jacksonville, Florida. The ideal candidate will be a proactive leader with strong tenant relations skills, experience managing vendors and service contracts, and a hands-on approach to property operations and maintenance oversight. This position plays a key role in maintaining high tenant satisfaction, preserving the asset's value, and ensuring operational excellence throughout the property.
Key Responsibilities
1. Tenant Relations
Serve as the primary point of contact for tenants and foster positive tenant relationships. Respond promptly and professionally to tenant requests, concerns, and service issues. Coordinate tenant move-ins, move-outs, and space modifications. Conduct regular tenant visits to ensure satisfaction and identify opportunities for service improvements. Assist with lease administration and ensure compliance with lease provisions.
2. Property Operations & Inspections
Conduct routine property inspections to evaluate building conditions, safety, cleanliness, and curb appeal. Identify maintenance and operational issues and ensure timely resolution. Monitor property appearance and ensure common areas and grounds are maintained to a high standard. Track and follow up on corrective actions resulting from inspections. Maintain detailed records of inspections, work orders, and completed projects.
3. Vendor & Contract Management
Manage third-party vendors and service providers, including janitorial, landscaping, security, HVAC, and other building contractors. Solicit bids, negotiate contracts, and monitor vendor performance. Ensure vendors comply with contract requirements, safety standards, and insurance requirements. Review invoices and verify work completion prior to approval for payment.
4. Maintenance Oversight
Work closely with maintenance personnel to prioritize, schedule, and complete preventative and corrective maintenance activities. Oversee building systems and coordinate repairs as necessary. Ensure work orders are completed efficiently and tenants are kept informed of progress. Assist in developing and implementing preventative maintenance programs.
5. Financial & Administrative
Responsibilities Assist with annual operating budgets and capital planning. Monitor operating expenses and identify cost-saving opportunities. Review and approve invoices and prepare monthly operational reports. Ensure compliance with company policies and property management procedures.
Qualifications
Bachelor's degree preferred or equivalent commercial property management experience.
Minimum 5+ years of commercial property management experience, preferably managing office properties.
Strong understanding of building operations, maintenance practices, and vendor management.
Excellent communication, customer service, and relationship-building skills.
Experience with property management software and Microsoft Office Suite.
Ability to prioritize multiple projects and work independently in a fast-paced environment.
Professional designation such as CPM®, RPA®, or working toward certification is a plus.
