Assistant Property Manager

Location: Westlake, TX 76262

Employment Type: Contract-to-Hire

Pay Rate: $30.00–$38.46/hour DOE


Position Summary

The Assistant Property Manager supports the Property Manager and General Manager by overseeing daily property operations and ensuring efficient management of tenant services, vendor coordination, budgeting, and administrative functions.


Reporting Structure

  • Department: Property Management
  • Reports To: General Manager
  • Status: Exempt


Key Responsibilities

Property Operations

  • Coordinate on-site service contracts as directed by the Property Manager
  • Partner with engineering and security teams to resolve building and tenant-related issues
  • Conduct regular property inspections
  • Serve as acting Property Manager in the Property Manager’s absence
  • Coordinate tenant move-in and move-out procedures

Budgeting & Financial Administration

  • Assist with budget preparation and monthly variance reporting
  • Support planning, timing, and documentation of the annual budget process
  • Receive, code, stamp, and enter invoices into the accounting system
  • Deposit and track checks received by the management office
  • Coordinate and prepare monthly tenant billing charges
  • Review recurring tenant billing changes
  • Investigate and reconcile discrepancies between lease abstracts and billing system data

Lease & Tenant Management

  • Update and distribute monthly stacking plans to the Leasing Team
  • Read and interpret lease agreements and approve lease abstracts
  • Maintain positive tenant and contractor relationships through strong customer service

Vendor & Program Coordination

  • Manage third-party service providers and ensure compliance with service contracts and building regulations
  • Assist with the Glenstar Connect program, including:
    • Monthly planning meetings
    • Event organization and coordination
    • Event setup
  • Coordinate the Glenstar Giving philanthropy program
  • Organize employee appreciation initiatives, including:
    • Monthly and annual events
    • Awards
    • Training activities


Qualifications

Required Skills

  • Strong organizational and prioritization skills
  • Ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Strong customer service and relationship-building abilities
  • Proficiency in:
    • Microsoft Word
    • Microsoft Excel
    • Yardi

Education & Experience

  • Bachelor’s degree from an accredited four-year college or university
  • Minimum 3 years of commercial real estate experience

Preferred Qualifications

  • RPA designation
  • LEED accreditation
