Job Title: Property Administrator

Hours: 7am-4pm

Pay range: $27.88/hr


*Must have Commercial Property Admin experience*


Essential Functions:

  • Assist with Accounting activities of the property, including:
  • Stamp/code invoices and email to PM for approval; input into the MRI accounting system for

payment

  • On-site Accounts Payable (AP) and Accounts Receivable (AR)
  • Prepare Tenant Sundries invoices, input into MRI, and send with Monthly Rent statements
  • Downloading data from DSX Access Control System and preparing Monthly Parking Summary
  • Maintain Reserved Parking Database and Maps
  • Annual Budget Preparation
  • Answer Property Management Office (PMO) communication; Office Phone | Email Accounts
  • Receive/Dispatch/Monitor Tenant Work Order Service requests in ANGUS; print monthly Open Ticket Report
  • Administer Certificates of Insurance with Endorsements from Contractors/Vendors and Tenants in ANGUS; track

and confirm compliance with minimum Owner/Manager insurance coverage requirements

  • Receive/confirm Conference Room Reservation Requests in ANGUS; use Outlook Calendar for scheduling
  • Review Security and Janitorial Reports for incidents/deficiencies; follow-up and/or notify PM to resolve
  • Maintain electronic Tenant Lease Files, Vendor Files, and other building operations files in ShareFile
  • Prepare and send Tenant Notifications in ANGUS
  • Update and maintain regular and EMERGENCY Tenant, Contractor/Vendor and Property Contact Listing
  • Coordinate Fire Warden Training and HFD Consultations
  • Order supplies for Property Management Office and Fitness Center
  • Manage office equipment ( e.g., copier/scanner )
  • Perform as a team member with others on the team
  • Developing and maintaining positive Tenant relations
