Job title: Property Administrator
Hours: Monday – Friday 8a-5p, may change depending on property needs.
Pay Range: $52k-$55k
Job Description:
The Property Administrator position provides first-class property management services and
assists the Property Management team with day-to-day responsibilities, including Accounts
Receivable and Payable and Office Administration.
Responsibilities:
• Process accounts payable weekly for the APM/Property Manager to review and approve.
• Review statements with the Tenant and discuss what is owed.
• Create statements for misc. charges itemizing amounts due.
• Contact vendor to request any missing invoices, packing slips, request W-9 to set up
vendor.
• Correct/update billable work orders as needed to create tenant misc. bill backs.
• Review Budget to code invoices accurately and confirm the coding of invoices received
from the Engineering Dept.
• Review Engineering Billable Work Orders for accuracy.
• Contact tenant for short rental payments, including EOE/rent increase change or
miscellaneous. billbacks.
• Create and manage File Notice to Owners
• Maintain Encumbrances Report to date.
• Assist with Lease Abstracts
• Review cash receipts to submit to APM for approval.
• Maintain Tenant Accounting Contact Information.
• Maintain the tenant's certificate of insurance along with contact information.
• Greet guests and visitors to the management office in a professional, mature, courteous,
gracious, and efficient manner.
• Assure prompt response by other team members through dispatch, telephone
messaging, and/or further direct contact.
• Acknowledge the role as management office “ambassador”; this company's image is reflected
through proper telephone and reception procedures.
• Use independent judgment to enforce compliance with insurance requirements among
tenants, contractors, vendors, and suppliers.
• Document incidents of potential liability to property and equipment.
• Handle calls for regular maintenance of the property, ensuring the safety and security of
the premises.
• Negotiate maintenance services with contractors.
• Monitor activities of team members and stay abreast of schedules and appointments.
• Open, date stamp, and distribute incoming mail; collect and prepare outgoing mail;
maintain confidentiality of items marked as such.
• Monitor supplies and order when necessary.
• Aid in proofreading and editing documents.
• Coordinate timely repair and maintenance of office equipment.
• Adjust to changing situations, working effectively under pressure.
Requirements:
• High School Diploma required; bachelor’s degree is preferred.
• Experience supporting a Commercial Property Management Team
• Experience in Microsoft Office, Excel, reception, work orders, certificates of insurance,
tenant interaction, construction management, Angus, and AP/AR.
• Resourceful at identifying and working around obstacles and finding solutions.
• Project Management experience desired.
• Demonstrated commitment to customer service.
• Self-starter with independent work skills that can function effectively within a team
environment.
• Excellent time management and organizational skills with a proven ability to meet
deadlines.
• Ability to work collaboratively within a diverse team of assertive personalities.
