Tenant Service Coordinator

Monday - Friday 8am-5pm
The Tenant Service Coordinator is responsible for working directly with Property Managers in the management of a property (or group of properties) in the day-to-day implementation of policies, procedures, and programs to assure a well-managed and profitable commercial property. This role is responsible for providing administrative support to the assigned assets in accordance with owner's and Company's goals and objectives, directly related to management and general business operations. Assist with handling monthly reporting, budgeting, responding to tenant inquiries, drafting tenant correspondence and tenant notices.
This Tenant Service Coordinator position is intended to be an evolving/growth opportunity position allowing a person with clerical and administrative experience to gain property management experience and expertise in a support role to take on additional responsibilities similar to that of an Assistant Property Manager, thus allowing them to gain the experience, knowledge and confidence to grow into the higher-level position(s). The path described above, depending on the experience, aptitude and opportunities within our organization may include the following expected outcomes.
ESSENTIAL FUNCTIONS:
The list below is intended to summarize most of the major duties and responsibilities of this position and may be modified by Management as deemed appropriate. Each employee may not be required to perform all the duties listed, and cross training may be applied.
1. Provide full administrative support for the property management office, including phone support, typing, reports, preparation, filing and distribution of correspondence and administrative functions, and check and distribution of mail daily.
2. Greet tenants, prospective tenants, vendors and guests.
3. Interface with tenants and vendors in daily operations of the building.
4. Promote and foster positive relationships with tenants.
5. Schedule and coordinate meetings/special events as requested.
6. Initiate and execute day-to-day operational procedures, including interacting with engineers, security, janitorial and other building staff.
7. Maintain current certificates of insurance for vendors and tenants; ensure coverage complies with requirements.
8. Respond positively and promptly to standard building requests.
9. Manage work order system.
10. Maintain parking/building access card records.
11. Maintain tenant and vendor contact lists.
12. Manage Fitness Center registrations.
13. Manage Conference Center reservations and set up.
14. Prepare security clearance letters and coordinate with Security for vendor after hours and weekend access.
15. Manage EV Charging registrations.
16. Maintain tenant engagement platform for up-to-date food services, tenant events and content (Equiem) as the public relations point of contact.
17. Monitor security systems for proper operation and coordinate service when necessary (Datawatch Access Control and Visitor Management System, Security Camera DVRs, and IntelliM tenant access control system) for proper computer network and database administration.
18. Manage emergency warden certifications and training schedule.
19. Organize events (AED training, Blood Drives, etc.).
20. Order and maintain office supplies.
21. Update Tenant handbook.
22. Tenant move-in and move-out coordination with Property Managers.
23. Provide backup accounts payable support, which includes coding invoices, composing expense reports, posting AP reports, vendor onboarding, etc.
MARGINAL FUNCTIONS:
1. Attend meetings and training as required.
2. Complete any other duties as assigned by your supervisor which are necessary for the continued operation of the company.
QUALIFICATIONS:
Education:
• High school diploma or GED required; College degree or some college work preferred
Training & Experience:
• 2 to 4 years’ experience in any of the following highly desired: Property Management or Commercial Leasing
• Excellent verbal and written communication skills
• Ability to understand leases
Technology:
• Proficient in Microsoft Office; specifically, Excel, and Word
• Computer literate – able to prepare correspondence, access information from property management software and conduct business via e-mail and internet.
• Experience with Yardi and other property management and analysis software is a plus
Licenses, Certifications & Special Requirements:
• Real Estate License where required

• Ability to connect with and to create positive relations with tenants and senior management
