Seeking a Tenant Services Coordinator for a client in the Midtown Atlanta area. Contract to hire position paying up to $26.00 an hour DOE                                                                                 

                       

 ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

 1.    Act as Angus Anywhere system administrator. Learn all there is to know about the system. Recommend system improvements; know when the next update is coming and what functionality will be gained. Suggest creative ways for the team to use the system. 

 2.    Work with security on admission of property management guests, vendors, etc., and schedule use of freight elevator by contractors, vendors and tenants.

 3.    Be continually observant about building conditions, cleaning and/or maintenance and vendor/contractor issues and report problems to SPM as appropriate and/or enter proactive work orders into Angus.

 4.    Keep file/break room clean and stocked. Order supplies in bulk to the extent practical and regularly review purchasing decisions to ensure the best value and price.

 5.    Keep storage areas, drawers, cabinets, etc. clean and organized. Ensure that items, files, boxes, etc., are labeled as necessary to ensure efficient retrieval.

 6.    Provide general administrative support for team members including preparation of expense reports.

 7.    Assist with production of monthly reports as directed by SPM.

 8.    Be knowledgeable of owner’s goals and operational requirements and mindful of them in the execution of position duties. 

 SPECIFIC JOB TASKS

·      Monitor work orders daily to ensure all are addressed and dispatched

·      Work with engineers to confirm work orders can be closed out/completed

·      Manage scheduling of building conference rooms and other building resources as assigned

·      Create and maintain tenant lease files

·      Create and maintain vendor files

·      Update electronic tenant directories as needed

·      Upload Monthly Operating Reports (MORs) and Parking Management Reports to Share drive each month

·      Upload other documents to share drive as needed

·      Filing completed each Friday

·      CoI tracking and maintenance so current tenant and vendor COIs on hand at all times

·      Retrieve utility invoices from GA Power and City of Atlanta websites

·      Tenant manual creation / updates 

·      Update tenant contact forms quarterly and distribute to all team members including security

·      Maintain vendor contact lists

·      Coding invoices and investigation of payables if charges need questioning

·      Prepare weekly AP package (coded invoices) and scan/email to accounting each Friday

·      New tenant set up in Angus Anywhere

·      New tenant employee list sent to security for input in card access system

·      Prepare tenant authorization forms for HVAC, conference center use & other billback charges then if approved, prepare invoice for tenants after work complete.

·      Pick up and distribute mail

·      Take and submit copier meter readings

·      Answer phones

·      Inventory and order kitchen and office supplies BEFORE running out

·      Send out tenant email notifications as needed

·      Manage tenant appreciation events


EDUCATION/EXPERIENCE:

·     High school diploma or the equivalent

·     Two plus years of experience working with a high rise class a commercial property.

·     Experience with real estate accounting and work order systems (Yardi, Angus Anywhere, etc.)
